Platform · Prolink, the platform every client runs on

One sign-in, one support desk, one changelog, one audit trail. The platform every Prolink application inherits on day one.

Running a multi-application software business meant support, client email, billing, monitoring and per-app logins were scattered, and every client user needed a separate password for each application.

What we built

Identity, support, email, billing, monitoring and the shared library every application is built on.

Single sign-on across every application with short-lived single-use handoff tokens. Sign out of the Hub and you are signed out everywhere; one screen revokes a person's whole access.
Two-tier entitlement: a company is granted applications, then its users a subset. Revoking from the company revokes from every user.
A support desk with chat-style threads, coverage-based routing, internal notes, time tracking, a two-stage resolve and close, and auto-reopen when a client replies.
A shared inbox that polls staff mailboxes, files mail to companies by sender, links replies carrying a ticket reference, and renders bodies in a sandbox with trackers neutralised.
Read-only billing from Xero: clients see their own live invoices and statements; a debtors dashboard aggregates outstanding, overdue and arrears across every company.
Platform services consumed by every application: notifications, a central changelog, fingerprint-deduplicated error monitoring, a role-gated wiki, an API activity log, and a shared library deployed everywhere with one command.
leverage

One library, every app

A versioned shared library gives every application sign-in, the design system and platform services, pushed everywhere with a single command.

reliability

An alarm that cannot silence itself

Buffered error handlers, fingerprint de-duplication, auto-reopen on recurrence, and a system-alert channel that bypasses the email provider.

ai

AI with guard rails

Structured output, an injected allowed vocabulary, hallucinated IDs stripped on the server, and a full usage audit.

How it plugs in

The back office behind every application.

Transactional email through Postmark with per-client branding, invoices read live from Xero, and inbound mail from staff mailboxes filed to the right company.

The applicationPostmarkXerostaff mailboxesAnthropic Claudethe prolink.io lead form
job Mailbox polling every two to three minutes, filing inbound and sent mail and notifying covering staff
job A 7am digest to each staff member of their open and unassigned tickets, including an all-caught-up email so silence never means a broken job
job An escalation sweep in business hours on unassigned tickets, and a daily job that closes resolved tickets untouched for seven days
What changed

Prolink staff run support, client email, billing, marketing and monitoring from one screen, and a new application inherits login, design system and every platform service on day one.

one detail only this project hasUnsubscribe links are signed and self-expiring, invalidate automatically when the preference changes, and survive bot pre-fetch, so one-click unsubscribe needs no token table and no cleanup job.
