Twenty-five years of Proclaim cases, searchable in a browser, so the old system could be switched off.

A law firm retiring its old case management system still needed staff to look up historic cases, so it faced paying to keep a dead system alive just to answer questions about closed files.

What we built

Import everything once. Search it forever. Summarise on demand.

A searchable archive of imported cases by case number, client name, case type, fee earner and date opened.
A case view with a summary and clickable tiles for history, documents, emails, letters, memos and account entries that land on the pre-filtered tab.
Documents previewed in the browser and served securely from cloud storage; history with rendered email bodies, memos and file notes; accounts with running balances.
Full-text search across every case's history, email subjects and document names, grouped by case with match previews.
Bulk Proclaim import from cloud storage with per-run history, per-case outcomes and error drill-downs, plus an accounts import that cannot create duplicates.
Multi-tenant isolation scoping every query to the viewer's firm, with sign-in and access managed through Prolink Hub.

Long jobs on shared hosting

A webhook writes a trigger file and a per-minute job launches the import in the background, guarded against overlapping runs.

Bring your own key

Per-firm AI summaries with the firm's own key encrypted at rest, a platform fallback, a per-firm switch, and one-shot spend per item.

How it plugs in

One export out of Proclaim. No licence needed after that.

Exported case folders land in cloud storage and flow in unattended on a schedule. The firm keeps the history; the vendor stops getting paid for it.

What changed

The firm can retire the old installation and still answer 'what happened on that file' from a browser, with documents served from cloud storage rather than a file server.

one detail only this project hasAccounts imports are idempotent by construction: a hash of each row behind a unique index, so the same file can be uploaded repeatedly with no manual de-duplication.
Figures from the project record: the archive spans about 25 years of case data
